Syncing Outlook contacts with Freshsales enables you to bring onboard contact lists from your Office 365 account and maintain them up-to-date on the CRM. You can configure a one-way sync that allows to bring new contacts from your Office 365 account directly into Freshsales.

Note:  This is a user-level sync and is accessible to all users. 


To set up the Outlook contact sync,

  1. Click the Profile icon . This opens the Profile settings menu.  
                   

  2. Under the profile settings menu, click Sync Contacts. 


  3. Go to Sync Contacts and click Outlook contacts. 



  4. Sign in to your Microsoft account and authenticate with your credentials.

        
     

    Once you sign into your Microsoft account, you will be requested to grant permission to Freshsales to access your contacts.

  5. Hit the button to grant Freshsales access to your Outlook account information. 



    Once you have granted access, you will receive a success notification.




  1. Select the specific group from your Outlook contacts that you would like to sync. Follow it up by selecting whether you want the group to be synced to a ‘Lead’ or a ‘Contact’ or ‘Both Leads and Contacts’ in Freshsales.


NOTE: Freshsales allows only one-way sync from Outlook contacts i.e, any contact additions/updates you make on your Outlook contacts will be reflected on Freshsales. However, the opposite of this will not occur. 


  1. Set the rules when multiple matches are detected. You can opt between one of 4 options:




    1. Update all records: This updates all records (including the duplicates) irrespective of the ownership.

    2. Update the oldest record: Updates the oldest record calculated using the ‘created at’ date.

    3. Update the most recently created record: Updates the latest record calculated using the ‘created at’ date. 

    4. Update the record assigned to me: This updates record for which the user is the owner.

  2. After mapping the fields for the sync, hit the Save and Sync button. This will initiate the process of syncing all contacts from your Outlook to Freshsales.
